How to reduce property viewing no shows
Practical steps Malaysian property agents can take to stop viewing no shows: qualify first, confirm twice, send clear directions and follow up when someone misses.

Few things waste an agent’s day like driving to a viewing, waiting in the lobby, and getting no reply. No shows happen for simple reasons: the lead was never serious, forgot, got the time or place wrong, or found something else and felt awkward saying so. You cannot stop every no show, but a simple routine removes most of them.
1. Qualify before you book
Most no shows come from viewings booked too early. Before booking, know the purpose, budget range and timing. A lead who cannot answer these is not ready to view.
2. Confirm the exact details
When booking, confirm the date, time, full address, building name, block, and where to meet. Ask who will attend. Send it in writing on WhatsApp straight after the call.
3. Confirm again the day before
Send a short reminder the day before, and ask them to reply to confirm. If they do not reply, call. No reply to a reminder is a strong signal to reschedule rather than drive over.
Agent: Hi Ms Wong, reminder for our viewing tomorrow, Sunday, 3pm at The Park Sky Residence, Bukit Jalil. I will meet you at the guardhouse. Could you reply to confirm you are still coming?
4. Make it easy to arrive
- Send a map pin, not just the address.
- Tell them where to park and how to register at the guardhouse.
- Send your photo or what you will be wearing if you have not met.
- Share the owner’s access rules, such as shoes off or limited time.
5. Make rescheduling easy
Say clearly that it is fine to reschedule. People who feel they can change the time politely do so instead of disappearing.
Following up after a no show
Stay polite. Assume something came up, and offer another time once. If they miss twice, move them to a lower priority follow up.
Agent: Hi Ms Wong, I was at the guardhouse at 3pm but could not reach you. Hope everything is okay. Would you like to reschedule to another day this week?
- Lead qualified before booking.
- Written confirmation sent with map pin and meeting point.
- Reminder sent the day before and a reply received.
- Attendees known.
- Rescheduling offered once after a no show.
Why viewings get missed
| Cause | Fix |
|---|---|
| Lead was never serious | Qualify purpose, budget and timing before booking |
| Forgot the appointment | Written confirmation plus a reminder the day before |
| Could not find the place | Map pin, meeting point and parking instructions |
| Found another unit | Make it easy to cancel or reschedule politely |
| Decision maker could not come | Ask who will attend when you book |
Track your no shows for a month. If most come from one lead source, such as a particular advertisement, qualify those leads more carefully before booking.
Frequently asked questions
How far ahead should I confirm a viewing?
Confirm in writing when you book, then remind them the day before and ask for a reply.
What should I do if a lead does not reply to the reminder?
Call them. If you still cannot reach them, reschedule instead of driving to the property.
Should I charge for missed viewings?
This is uncommon for buyers and tenants in Malaysia. Focus on qualifying and confirming well instead.
