Lead follow up
How to follow up property expo and exhibition leads
A follow up plan for leads from property exhibitions, roadshows and launches: sort within 24 hours, call in order of interest and keep a record of every lead.

Property exhibitions, mall roadshows and project launches can produce dozens or hundreds of leads in a weekend. The problem is that these leads go cold fast. Visitors spoke to several developers and agents, and by Tuesday they remember almost none of them. The agents who win are the ones who follow up within a day, in a clear order, and remind the visitor exactly who they are.
Before the event
- Decide who follows up which leads, and by when.
- Use a simple form that captures name, number, interest level and preferred language.
- Add a note field for anything memorable, such as "looking for a unit near a school".
A 7 day follow up plan
| Day | Action |
|---|---|
| Same evening | Sort leads into hot, warm and cold based on what they said |
| Day 1 | Call all hot leads and send a WhatsApp to everyone with the brochure |
| Day 2 | Call warm leads, second attempt for hot leads who did not answer |
| Day 3 to 4 | Call cold leads once, and invite hot leads to a show unit visit |
| Day 7 | Final call round, then move unconverted leads to a monthly check in |
What to say
Agent: Hi Mr Lee, this is Priya. We met at the property fair at Mid Valley on Saturday, you were asking about the three bedroom units near the LRT. Is now a good time?
Lead: Oh yes, I remember.
Agent: Great. Are you still considering it? We have show unit slots this weekend if you would like to see the layout in person.
Reminding them where you met and what they asked about is the most important sentence. It turns a cold call into a continued conversation.
Handling volume
Calling a hundred leads in two days is hard alongside normal work. This is where an AI phone agent helps: it can make the first round of calls quickly, ask whether they are still interested, and give you a sorted list of who wants a viewing. You then personally call the interested ones.
- Every lead contacted within 48 hours.
- Each call mentions where you met and what they asked.
- Interested leads have a viewing or callback booked.
- Unconverted leads move to a monthly check in, not the bin.
Common mistakes with event leads
- Waiting until the following week to start calling.
- Calling without mentioning where you met.
- Sending the same long brochure message to everyone.
- Treating every lead as hot and burning out on the cold ones.
- Deleting leads who did not answer after one attempt.
Frequently asked questions
How quickly should I call exhibition leads?
Within 24 hours for hot leads and 48 hours for everyone else. Memory of the conversation fades quickly.
How do I sort a large batch of event leads?
Use what they told you at the booth: hot for those asking about specific units or prices, warm for general interest, cold for brochure collectors.
