Lead follow up

How to follow up property leads in Malaysia: a complete guide

A practical follow up system for Malaysian property agents: how fast to call, how often to try, what to say and when to stop, with a sample schedule.

Most property leads are lost because nobody follows up properly, not because the lead was bad. A buyer who fills in a form on a listing portal, a Facebook advertisement or a developer page is usually comparing several properties at the same time. The agent who responds first, asks useful questions and sets a clear next step usually gets the viewing. This guide gives you a follow up system you can run every week: how fast to respond, how many times to try, which channel to use, what to say and when to stop.

Why speed matters more than anything else

A new enquiry is at its warmest in the first hour. The lead has just looked at your listing, still remembers the unit and is often still on their phone. If you reply the next day, they may have already spoken to two other negotiators and booked a viewing elsewhere. Aim to make the first contact within five minutes during working hours and within the first hour in the evening. If you cannot do that yourself because you are at viewings or signing documents, you need a backup: a colleague, a scheduled callback or an AI phone agent that calls on your behalf and records the result.

Speed does not mean pressure. The first call should be short and friendly: confirm who you are, which listing they asked about, and one or two questions about what they are looking for. Then agree the next step.

A simple follow up schedule for new enquiries

Use a fixed schedule so no lead is forgotten and no lead is called too often. Adjust the days to your own market, but keep the structure.

Sample follow up schedule for a new property enquiry
WhenChannelGoal
Within 5 minutesPhone callIntroduce yourself, confirm the listing, ask one qualifying question
If no answer, straight afterWhatsApp messageSay who you are and offer a time to talk
Day 1, different time of dayPhone callSecond attempt, try lunchtime or after 6pm
Day 3WhatsApp with useful detailSend the floor plan, photos or two similar units
Day 7Phone callCheck whether they are still looking and what changed
Day 14WhatsAppShort check in with a new listing or price update
Day 30 and monthly afterWhatsApp or callKeep in touch until they say stop or they buy

Six to eight touches over the first month is normal for property. Most agents give up after one or two attempts, so simply following this schedule puts you ahead of most of the market.

What to say on the first follow up call

Keep the first call under three minutes. Your goal is not to sell the unit on the phone. Your goal is to understand what they want and book the next step.

Example First follow up call for a new portal enquiry

Agent: Hi, is this Mr Tan? This is Aisyah from Seri Realty. You enquired about the three bedroom condo in Mont Kiara on the portal this morning. Is now a good time for two minutes?

Lead: Yes, okay.

Agent: Thank you. Are you looking to buy for your own stay, or as an investment?

Lead: Own stay. Moving with my family.

Agent: Got it. And roughly when are you hoping to move?

Lead: Maybe in three or four months.

Agent: That works well. Would you like to view the unit this Saturday morning, or should I first WhatsApp you the floor plan and two similar units nearby?

Notice the structure: identify yourself and the listing, ask permission, ask two questions, then offer two clear options. Offering a choice between two next steps gets a yes much more often than asking whether they have any questions.

Call first, then WhatsApp

In Malaysia, many leads prefer WhatsApp, but a call still converts better for a first contact because you can hear their tone and ask follow up questions immediately. Use both: call first, and if they do not answer, send a short WhatsApp straight away so they know who called. After the first conversation, move routine updates to WhatsApp and keep calls for decisions such as booking a viewing, discussing an offer or checking in after a long silence. Our guide on WhatsApp versus phone calls covers this in more detail.

How to keep track of every lead

You cannot follow up consistently from memory. Record every lead with the date of enquiry, the listing, the last contact, what they said and the next action with a date. A spreadsheet works for a few leads a week. Once you have more than about twenty active leads, use a customer relationship management tool or a calling tool that records each call, its summary and the next action automatically.

  • Every lead has a next action and a date.
  • You know which listing or project each lead enquired about.
  • You wrote down budget, timing and purpose after the first call.
  • Leads who asked you to stop are marked and never called again.
  • Leads with no answer after the full schedule move to a monthly check in.

When to stop following up

Stop immediately when a lead clearly asks you to stop calling or messaging. Mark them as do not contact and respect it, both because it is the right thing to do and because personal data rules in Malaysia expect you to honour that request. Also stop active follow up when a lead tells you they already bought or rented elsewhere, but ask whether you can keep in touch for future needs or referrals. For leads who simply never answer, move them to a monthly or quarterly check in rather than deleting them. Many buyers come back months later.

Common follow up mistakes

  • Waiting until the end of the day to return enquiries.
  • Calling at the same time every day, so a lead who is always busy at that hour never answers.
  • Sending a long WhatsApp essay instead of one clear question.
  • Asking whether they have any questions instead of offering a specific next step.
  • Pushing a viewing before you know their budget, timing and purpose.
  • Keeping no record, so the next call repeats the same questions.

How an AI phone agent can help

The hardest part of follow up is consistency when you are busy. An AI phone agent can make the first call within minutes, ask your qualifying questions, and give you a recording, a transcript and a summary with the next action. You then spend your own time on the leads who are ready to view or negotiate. Lebah.io is built for this: you set the objective and the questions, schedule the calls, and review the results in one place. It works best as a first step and a backup, with you handling negotiation and relationships.

Frequently asked questions

How many times should I follow up a property lead?

Plan for six to eight attempts in the first month, mixing calls and WhatsApp, then move to a monthly check in. Stop at any time if the lead asks you to.

What is the best time to call property leads in Malaysia?

Try different times rather than the same slot every day. Lunchtime and early evening after work often reach people who are busy during office hours. Avoid late night calls.

Should I call or WhatsApp a new enquiry first?

Call first. If there is no answer, send a WhatsApp immediately so the lead knows who called and why.
