Lead follow up
WhatsApp or phone call? How to follow up property leads in Malaysia
When Malaysian property agents should call and when to WhatsApp: first contact, viewings, updates and old leads, with message templates for each.

WhatsApp is the default way Malaysians communicate, so it is tempting to handle every lead there. But a phone call still does things a message cannot: you hear hesitation, you can ask a follow up question instantly, and you build trust faster. The best agents use both, each for what it does best.
Which channel for which moment
| Stage | Best channel | Why |
|---|---|---|
| First contact with a new enquiry | Call, then WhatsApp if no answer | Speed and a real conversation |
| Sending photos, floor plans, location | Easy to share and refer back to | |
| Booking a viewing | Call or voice note | Faster to agree a time |
| Confirming a viewing the day before | Written record of time and place | |
| After a viewing | Call | You need their honest reaction |
| Price negotiation | Call or meeting | Tone matters |
| Monthly check in with cold leads | Low pressure | |
| Lead goes silent after interest | Call | A message is easy to ignore |
When a lead asks you to send details on WhatsApp
Often a lead on the phone says, "Just WhatsApp me the details." This is not always a brush off. Agree, send exactly what they asked for, and set a time to talk: "Sure, I will send the floor plan and price now. Can I call you Thursday evening to hear what you think?" Then call when you said you would.
WhatsApp templates
Agent: Hi Mr Tan, this is Aisyah from Seri Realty. I just called about your enquiry on the Mont Kiara condo. When is a good time to talk? Or I can send the details here first.
Agent: Hi Mr Tan, confirming our viewing tomorrow, Saturday, 10am at Arcoris Mont Kiara, lobby of Block A. I will meet you there. Please let me know if anything changes.
Agent: Hi Ms Lim, Daniel here. Two new terrace listings came up in Setia Alam within your range this week. Would you like me to send them?
WhatsApp etiquette that protects your reputation
- Introduce yourself and your agency in the first message.
- Keep messages short, with one question at a time.
- Do not add leads to broadcast groups without asking.
- Respect late hours, and avoid messaging after about 9pm unless they asked.
- Stop messaging immediately if they ask you to.
Lebah.io calls leads by phone and shows you what each lead asked for, including leads who prefer WhatsApp, so you can send the right message yourself.
A sample sequence using both channels
| Step | Channel | Message |
|---|---|---|
| 1 | Call | Introduce yourself, confirm the listing, ask purpose and budget |
| 2 | Send the floor plan, photos and location they asked for | |
| 3 | Call | Hear their reaction and offer two viewing times |
| 4 | Confirm the viewing in writing with a map pin | |
| 5 | Call | Follow up after the viewing for honest feedback |
Each channel does the job it is best at: calls move the decision forward, and WhatsApp keeps a written record the lead can refer back to. Leads who strongly prefer one channel should be allowed to stay on it.
Frequently asked questions
Is it rude to call a lead instead of messaging?
Not for a first contact after they enquired. Keep it short, ask whether it is a good time and offer to continue on WhatsApp if they prefer.
Should I send voice notes to property leads?
Voice notes work well once you have spoken, especially for booking times. For a first message, text is clearer and easier to read in a meeting.
What if a lead only replies on WhatsApp?
Respect it. Keep messages short, ask one question at a time, and suggest a quick call only for decisions like booking a viewing or discussing an offer.
